Excellent trouble shooting and problem-solving skills 7. Maintain confidentiality of personnel and financial records RESPONSIBILITIES: 1. General • Order office supplies • Communicate with vendors and sales representatives • Efficient with front desk duties and provide coverage as needed • Manage and resolve patient grievances • Manage and resolve employee grievances • Ensure employees are treated in a fair and consistent manner • Handle sensitive patient information with confidentiality/HIPAA compliant • Provide excellent customer service • Manage maintenance and aesthetics of office building • Maintain and document product inventory regularly • Foster staff harmony/positive team culture • Collaborate with team members • Create and send monthly email blasts highlighting procedures and/or specials • Coordinate with website company to keep information current and post practice specials • Plan special events to market practice and services • Coordinate/manage marketing 2. Financial • Responsible for posting and adjustments related to patient services. • Pay medical office bills • Make daily bank deposits; prepare change envelope and credit card transaction receipts; reconcile petty cash • Enter charges and payments; issue refunds as appropriate • Reconcile day sheet with fee sheets • Manage postage meter, mail sorting, and post office activities • Coordinate computer systems, including software updating and backups 3. Insurance • Facilitate and assist patients with filing out of network insurance claims 4. Practice Management • Human resource development. ?,? Maintain an effective system for employee personnel files and records ensuring legal and current documentation. ?,? Create and maintain an ongoing structure for employee orientation and termination. ?,? Perform all prospective employee reference checks. Ensure compliance with all government agencies with regard to human resource. ?,? Provide leadership, guidance, and organizational expertise to all staff members. Effectively communicates departmental activities to overall staff. ?,? Establish a high-performance team of staff that is efficient, knowledgeable, service-oriented, and shares responsibility for attaining the goals of the practice. ?,? Implement and/or update: • Employee Manual • Patient Scheduling Protocols • Telephone Systems • Manage employee time and submit bi-monthly payroll to ELM • Manage staff scheduling • Reconcile “no show” lists • Assist medical staff with maintenance of AAAHC office accreditation • Maintain physician and medical staff credentialing and hospital privileges • Promote cross training among office and medical staff as appropriate
